This policy explains how Isa Valentic ("we," "us," "our") collects, uses and protects your personal data. We operate from Cork, Ireland, and comply with the General Data Protection Regulation (GDPR) as implemented in Irish law.

What data we collect

Depending on how you interact with this website, we may collect your name, email address, phone number, and any information you voluntarily share through our contact form, booking page, triage quiz, or free resource download forms. If you sign up for renewal reminders, we also collect the expiry date of your immigration permission. If you use our secure upload page to send documents for a paid service, we collect the documents you choose to send, along with your name, email address, and which service they are for.

Why we collect it and the legal basis

We process your data for the following specific purposes:

To respond to enquiries and provide immigration consultancy services, including sending booking confirmations, managing your case, and communicating about your application. Legal basis: contractual necessity and legitimate interest.

To deliver free resources and send related immigration updates, when you submit a form to download one of our free guides or checklists, we collect your email address to deliver that resource and to send you occasional immigration tips and updates by email. Legal basis: consent. You can withdraw your consent and unsubscribe at any time by clicking the unsubscribe link in any email we send, or by contacting us at hello@isavalentic.ie.

To send our newsletter, if you subscribe to receive immigration news, quota updates, and policy changes via the sign-up form on this website. Legal basis: consent. You can unsubscribe at any time using the link in any email.

To remind you before your immigration permission expires, if you choose to give us your expiry date. That date is used for one purpose and no other: to email you around 16, 14 and 12 weeks before your permission expires, so that you apply inside the correct window. It is not used to profile you, it is not shared with anyone, and it does not add you to our newsletter. Legal basis: consent, given by choosing to enter the date. You can withdraw that consent at any time by clicking the unsubscribe link in any reminder email, or by writing to hello@isavalentic.ie, and we will delete the date on request.

To carry out a service you have paid for, where that service requires you to send documents, such as a Document Check or CV Review. Documents you upload are stored in a private folder that only Isa Valentic can open. They are not shared with any third party, they are never published, and they are not used for anything except the service you asked for. Legal basis: contractual necessity, together with the explicit consent you give on the upload form.

Who we share your data with

We do not sell your personal data. We share it only where necessary to deliver our services or comply with legal obligations. Our current third-party data processors include:

MailerLite (mailerlite.com), we use MailerLite to manage our email subscriber list, deliver free resources by email, and send our newsletter. MailerLite is headquartered in Vilnius, Lithuania, and operates within the European Economic Area. Your name and email address are stored on their platform when you subscribe.

Google Analytics (policies.google.com), if, and only if, you choose "Accept All" on our cookie banner, we use Google Analytics to see how the site is used in aggregate. It is provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4. Data may be transferred outside the European Economic Area under standard contractual clauses. If you reject non-essential cookies, Google Analytics is never loaded and no data about your visit reaches Google. You can withdraw consent at any time by clearing the saved preference described in our Cookie Policy.

Booking and scheduling tools, if you book a consultation through our website, your name, email, and any notes you provide are processed by our scheduling platform to confirm and manage your appointment.

Google Workspace (workspace.google.com), we use Google Drive to store documents you send us for a paid service. Google Ireland Limited is the data controller for Workspace customers in Europe, and the storage sits within Google's European infrastructure.

Netlify (netlify.com), our website is hosted by Netlify, and the forms on this site are processed by Netlify functions before the information reaches us or MailerLite. This means your name, email address, and anything else you type into a form passes through Netlify's servers. Netlify Inc. is based in the United States and transfers are covered by standard contractual clauses and the EU-US Data Privacy Framework.

How long we keep your data

We keep your data only for as long as necessary for the purpose it was collected, or as required by law. If you unsubscribe from our email list, your data is removed from active communications within a reasonable period. For consultancy clients, we retain relevant records in line with our professional and legal obligations. Documents you send us for a paid service are deleted six months after your case closes, and you can ask us to delete them sooner at any time.

Your rights

Under GDPR, you have the right to: access the personal data we hold about you; request correction of inaccurate data; request deletion of your data; restrict or object to how we process your data; receive your data in a portable, machine-readable format; and withdraw consent at any time, without affecting the lawfulness of any processing that took place before withdrawal.

You also have the right to lodge a complaint with Ireland's data protection supervisory authority, the Data Protection Commission: www.dataprotection.ie.
